User Account
Manage your personal profile, appearance, and notification behavior in Optra.
The User Account section in Settings contains personal preferences and profile management controls that apply to your individual user experience across the Optra platform. Unlike Account administration (which manages team access and integrations), User Account settings are scoped to you as an individual user. This section allows you to manage how notifications reach you, customize your interface appearance, and maintain your account security and profile information. Settings in this section are persistent across all accounts you access and devices you use to log in.
Profile
Identity details, password policy context, and trusted devices.
Appearance
Customize visual theme: light, dark, or system-based preferences.
Notifications
Control alert delivery, quiet hours, and notification timing.
Profile
Your Profile represents your personal identity and authentication settings within the Optra platform. This page displays your user information, account security configuration, and the mobile devices authorized to access your account.
The Profile page shows your name, email address, and contact information associated with your Optra account. Your password security is typically managed through your organization's single sign-on (SSO) service (such as Azure Active Directory), which means password changes and resets are handled centrally by your IT department rather than through the platform. This enterprise authentication approach ensures consistent security policies and compliance across your organization.
The Registered Mobile Devices section tracks devices that have been authorized to access your Optra account, particularly those configured for push notifications and mobile access. This security feature allows you to see which devices have access to your account and revoke access immediately if a device is lost, stolen, or no longer in use. Revoking a device will sign it out and disable push notifications and API access for that device.
View Profile
To review your profile details, follow the steps below.
- Open
Settings > Profilefrom the profile menu or left navigation. - Review your profile information:
- Your name as registered in the system
- Your email address associated with the account
- Your profile avatar or picture
- This information is typically display-only and managed by your system administrator.
Manage Password
To understand password management behavior for your account, follow the steps below.
- On the Profile page, locate the
Passwordsection. - Review the password management status:
- If your organization uses Azure AD or single sign-on (SSO), you will see a message stating "Your password is managed by a single sign on service."
- This means password changes must be made through your organization's identity provider (e.g., Azure AD platform)
- Contact your system administrator if you need to reset your password or update your authentication credentials.
Manage Registered Mobile Devices
To review and revoke trusted devices, follow the steps below.
- On the Profile page, scroll to the
Registered Mobile Devicessection. - Review devices authorized to access your account:
Device name/identifier: Shows the device's name (e.g., "iOS", "Android")Version: The version of the Optra client installed on the deviceStatus: Indicates if the device is "Active" (authorized and connected)Push Notifications: Shows if push notifications are enabled or disabled for this deviceRegistered: The date and time the device was authorizedLast Seen: The most recent activity from this device
- Click
Revokenext to any device to:- Immediately sign out the device
- Disable push notifications for that device
- Revoke its API access to your account
- This action cannot be undone—the device must be re-authenticated to regain access
- Regularly review this list to ensure only trusted devices have access to your account.
Appearance
The Appearance settings allow you to customize the visual presentation and theme of the Optra platform interface to match your preferences and accessibility needs.
The platform supports multiple theme options to accommodate different working environments and user preferences. You can choose between Light (optimized for bright environments), Dark (optimized for low-light environments and reduced eye strain), or System (which automatically switches based on your device's operating system settings). Theme selection is a personal preference stored with your user account and will apply across all sessions and devices where you are logged in, ensuring a consistent experience regardless of where you access the platform.
How to Change Theme
To change your theme setting, follow the steps below.
- Open
Settings > Appearancefrom the left navigation. - Under the
Themesection, you will see three theme options:- Light: A light color scheme with a white background and dark text, optimized for bright environments and daytime use
- Dark: A dark color scheme with a dark background and light text, optimized for low-light environments, reduced eye strain, and nighttime use
- System: Automatically matches your computer's system theme preferences—if your device is set to dark mode, the platform uses dark mode; if set to light mode, the platform uses light mode
- Click the theme card you prefer to select it (the selected theme will be highlighted with a green border).
- Your selection is saved automatically and applies immediately to your current session and all future sessions.
Notifications
Notifications are system-generated alerts and messages that keep you informed about important events, device status changes, job completions, alerts, and other platform activities. The Notifications settings allow you to control how, when, and which notifications reach you, preventing notification fatigue while ensuring you receive critical alerts when needed.
Notification preferences support both real-time alerts and intelligent scheduling—you can enable push notifications to receive immediate alerts on your phone or browser, and configure "quiet time" hours during which only urgent notifications are delivered. This balance between responsiveness and user well-being ensures you stay informed about critical issues without being interrupted by routine notifications during rest periods or meetings. The platform also allows you to set expiration policies for notification-triggered actions, ensuring that time-sensitive events don't go stale.
Notification Preferences: Overview
The Notifications page provides comprehensive controls in the Notification preferences section:
Core Notification Settings:
- Push Notifications Enabled: A toggle switch to turn on/off all push notifications. When enabled, notifications are sent to your registered mobile devices and browser. When disabled, you will not receive push notifications but may still see in-platform alerts.
- Urgent Override Enabled: A toggle switch that allows critical or urgent notifications to bypass your quiet time settings (see below). This ensures that true emergencies or critical alerts reach you even when quiet time is active.
Expiration and Timing:
- Expiration Lead Days: A numerical field specifying how many days before an expiration event (e.g., API key expiration, certificate expiration) the platform should send you a notification. Default is 7 days. You can increase this to get earlier warning or decrease it if you prefer later reminders.
- Quiet Time Enabled: A toggle switch to enable or disable quiet time scheduling. When enabled, notifications are suppressed during your specified quiet hours (see fields below). When disabled, notifications are always sent unless you turn them off entirely.
Quiet Time Configuration:
When Quiet Time Enabled is turned on, these fields become active:
- Quiet Start Hour: Enter the hour (0-23 in 24-hour format) when quiet time begins (e.g., 22 means 10 PM)
- Quiet End Hour: Enter the hour (0-23 in 24-hour format) when quiet time ends (e.g., 8 means 8 AM)
- Timezone: Select your timezone from the dropdown to ensure quiet hours are calculated correctly for your location (e.g., America/New_York, Europe/London, Asia/Tokyo)
- Quiet Days: Checkboxes to select which days of the week should have quiet time active. For example, you might enable quiet time on weekends (Sat/Sun) to avoid weekend notifications, or on all weekdays (Mon-Fri) if you prefer a silent morning commute
Example Configuration:
If you check Sun (Sunday) and set Quiet Start Hour to 2 and Quiet End Hour to 10, notifications will be suppressed every Sunday between 2:00 AM and 10:00 AM in your selected timezone.
How to Configure Notifications
To configure notification behavior, follow the steps below.
- Open
Settings > Notificationsfrom the left navigation. - Under
Notification preferences, configure the following:- Enable/Disable Push Notifications: Toggle
Push Notifications Enabledto turn notifications on or off - Set Expiration Lead Days: Update the
Expiration Lead Daysfield to the number of days before an expiration event when you want to be notified (e.g., 7, 14, 30 days) - Enable/Disable Urgent Override: Toggle
Urgent Override Enabledif you want critical notifications to reach you even during quiet time
- Enable/Disable Push Notifications: Toggle
- To set up quiet time (do not disturb periods):

- Toggle
- Click the
Savebutton at the bottom of the page to save your notification preferences. - Your settings are now active and will apply to all notifications going forward.
